Trust Deposit InfoPath to Power Platform Modernization

Our client Mcleod Law is a Calgary based, full-service law firm with two office locations and a team of 60+ lawyers supporting clients across 40+ areas of practice. The firm has operated for decades and runs a high volume of matter-driven work where finance related processes must be controlled tightly, tracked clearly, and handled consistently across teams.

As the firm expanded, several internal workflows were still running on legacy InfoPath forms and older SharePoint Designer. Trust Deposits were a priority because they touch sensitive financial data, require approvals, and directly impact time-sensitive client work.

Profile Highlights

  • Industry: Legal services
  • Primary location: Calgary, Alberta (two offices)
  • Scale: 60+ lawyers; decades in operation
  • Practice breadth: 40+ practice areas across personal and business services
  • Business priority: Secure, auditable, approval-driven workflows for sensitive financial processes

Key Challenges

  • Legacy tooling was harder to maintain and constrained future modernization
  • Workflow logic was difficult to adapt cleanly as requirements evolved
  • Sensitive trust-related data needed stronger role-based controls (not every role should see every field or take every action)
  • Approvals required more manual coordination than necessary, creating avoidable delays
  • Limited visibility into status (pending, approved, stalled), making oversight and reporting harder
  • The firm needed a reusable platform approach because Trust Deposits were only the first of multiple forms-driven workflows to modernize

Problem

The Trust Deposit process was structured and approval driven, but it was running on aging InfoPath form technology and legacy workflow automation. That created operational drag, elevated risk, and made it difficult to evolve the process as needs changed.

Solution

West X delivered a Power Platform solution designed to replace legacy InfoPath forms and workflows with a scalable, secure framework. The first phase focused on Trust Deposits, intentionally designed as the baseline pattern for future forms-driven processes.

What We Delivered

  • A structured system of record in Dataverse
    • Migrated core workflow data out of SharePoint Lists into a governed, scalable data model
    • Standardized key fields and relationships to support consistency and reporting
  • Modern workflow automation with Power Automate
    • Automated routing, approvals, notifications, and status tracking
    • Reduced delays by making accountability and next steps visible and consistent
  • A model-driven app for internal processing
    • Standardized submission, review, and tracking in one operational interface
    • Role-based access so each group could see and act appropriately without overexposing sensitive financial information
  • Integration to reduce re-entry and improve accuracy
    • Connected to the firm’s practice management system (3E Cloud) to pull matter and lawyer context, reducing errors and duplicate entry
  • A reusable workflow foundation
    • Established a repeatable pattern that can be extended to additional forms and approvals without rebuilding the approach from scratch

The Results

Mcleod Law moved from legacy InfoPath forms and SharePoint Designer workflows to a modern workflow platform that is easier to maintain, more secure, and built to scale. The Trust Deposit process became more consistent and trackable, approvals required less manual follow-up, and leadership gained clearer visibility into workload and status. Just as importantly, the firm established a platform foundation that supports broader process modernization without creating disconnected point solutions.

Outcomes

  • Improved control over sensitive trust-related data through role-based access
  • Faster, more predictable approvals with clearer status visibility
  • Reduced manual coordination and fewer workflow bottlenecks
  • Stronger reporting foundation for accounting and management oversight
  • A scalable framework to digitize additional forms-driven workflows over time
