Our client Decoda Literacy is a provincial nonprofit organization focused on literacy and learning, supporting a wide network of community based programs and partners. Their teams and stakeholders are distributed across many communities, with day to day work spanning program delivery, resource development, training, communications, and operational support.
As the organization grew, document volume and collaboration demand increased. They needed a clearer, more consistent way to manage documents and collaborate in Microsoft 365 without relying on informal workarounds and “who knows where the file is” knowledge.
Decoda Literacy’s documents were spread across a mix of shared drive locations and personal storage, with different teams using different structures and habits. Over time, this created duplicate copies, inconsistent naming, and uncertainty about which version was current. Staff often had to search across multiple locations, open several files to confirm the right one, or rely on email threads and internal messages to locate documents. Version control was a persistent issue, especially when documents were reviewed, edited, and resaved by multiple people.
West X implemented a modern SharePoint Online document management foundation designed to make documents easier to store, find, and manage long-term. We established a structured SharePoint site and library layout aligned to how the teams work, with clear ownership and consistent organization. We introduced lightweight metadata where it added real value, improving search, filtering, and navigation without overcomplicating the user experience. We also reinforced a practical collaboration model that uses Teams for communication and SharePoint as the source of truth for files, reducing reliance on email attachments and duplicate document copies.
Decoda Literacy moved to a more consistent, centralized document management model with improved reliability and findability. Teams gained a clearer single source of truth for shared files, reducing duplication and confusion around current versions. Staff could locate documents faster through improved structure and searchability, and document handling became more consistent across the organization. The new foundation also positioned the organization for future improvements, including automation and stronger governance as their needs evolve.
