Nonprofit Case Management System Design

Our client is a nonprofit organization that provides support to at-risk youth and their families across British Columbia. With hundreds of annual cases and strict reporting requirements from funders, they needed a more reliable, secure, and user-friendly system to manage case information and demonstrate program outcomes.

Problem

The organization’s previous tools for tracking engagements lacked the structure and flexibility needed to manage ongoing relationships with families. They faced several challenges:

Inability to track multiple interactions per family across time.
Manual reporting processes that were time-consuming and prone to errors.
Inconsistent data entry that made accurate reporting difficult.
No centralized, secure system for managing sensitive case data.
Difficulty producing reports required by government partners and grant funders.

Solution

To address these challenges, West X Business Solutions developed a comprehensive solution:

We developed a Microsoft Power Apps Canvas application to manage case records from initial intake through ongoing support.
Created a user-friendly interface that allows staff to log interactions, track narratives, and capture demographic information for each case.
Enabled secure, role-based access to ensure sensitive data is protected while remaining accessible to authorized team members.
Built interactive dashboards and reporting tools to simplify internal reviews and meet annual reporting obligations from government funders.
